Privacy Policy

PrepTex is an exam revision service for Cameroonian exams, built and operated by LouisTech ("PrepTex", "we", "us"). It is for adults aged 18 and over, including parents and guardians who use it to help their child study (see Children's privacy). This policy explains what personal data we collect when you use the PrepTex website and app, why we collect it, who processes it for us and the choices you have.

Account details you give us: your full name, email address, password, whether you study at secondary or university level, your exam track and your preferred language. Your password is stored only as a secure hash; we never store or see it in plain text.

Study content you create: questions you type, photos of question papers you scan, voice questions you record, study materials you upload, your chats with the solver, saved solutions, quizzes and your answers, and reports or theses you generate.

Payment details: the Mobile Money phone number you pay with, the operator (MTN or Orange), the amount, the transaction ID and your pass dates. We never receive your Mobile Money PIN.

Technical and usage data: a session cookie that keeps you logged in, settings saved in your browser, push-notification subscriptions if you turn reminders on, counts of how much you use the AI features (for pass limits and fair use) and security logs such as request times and IP addresses used to block abuse. We also record the IP address your account was created from, and the IP address, device type and browser of your latest sign-in, so we can protect accounts and investigate misuse; only PrepTex administrators can see them.

What the study coach remembers: when you tell PrepTex about your studies (your goal, the exam you are preparing for, your school or class, the topics you find hard, how you like to learn), it keeps a short note of it on your account so later answers fit you. It never keeps health, religious, family or relationship details, or contact details. You can see and delete these notes at any time in Settings, Study & Exams. When you ask a question, the coach may also use passages from the study materials you uploaded.

Your learning record: to show your exam readiness, streaks and progress, PrepTex keeps a record of your marked work (test and mock exam scores, marked answers, explanations and flashcard reviews, with their subject and topic) and the time you study. It also keeps your flashcards and your revision plan. Only you can see them in the Learning hub; they are deleted with your account.

We do not use advertising cookies, we do not show ads and we do not use third-party tracking or analytics tools.

We use your data only to run PrepTex for you:

• To create and secure your account and keep you logged in.
• To answer your questions: your typed questions, scans, recordings and uploaded materials are sent to our AI provider to produce solutions, explanations, quizzes, translations and reports.
• To save your work (chats, materials, solutions, reports) so you can come back to it on any device.
• To process payments and activate, renew or check your pass.
• To send reminders, such as quiz deadlines, only if you allow notifications.
• To protect the service: rate limits, fraud and misuse detection, and suspending accounts that break our Terms.
• To reply to you when you contact support.

We do not sell your personal data, rent it, share it with advertisers or use it to build advertising profiles. We do not use your content to train our own AI models.

PrepTex relies on two Google services. Your use of them through PrepTex is also covered by Google's own terms and privacy policy.

Google Gemini API (AI processing). The content you send to the solver and other AI features (text, images, audio and uploaded materials) is sent to Google's Gemini API to generate a response. Google processes this content under the Gemini API Additional Terms of Service and the Google Privacy Policy. Depending on the service tier, Google may keep prompts and responses for a limited time to detect abuse and, where the terms allow, use them to improve its products, which can include review by trained people. For this reason, do not include passwords, ID numbers, health details or other sensitive personal information in your questions or uploads.

Google Drive (file storage). Your chats, uploaded materials and reports are stored in a private PrepTex folder on a Google Drive account owned and controlled by PrepTex. PrepTex accesses it with the limited "drive.file" permission, which only covers files PrepTex itself creates. Your files sit in a folder for your account, are reached only through PrepTex's servers after checking that you are logged in, and are never shared publicly or with other students. PrepTex does not ask for access to your own Google account or your own Google Drive.

Google Fonts. Some pages load fonts from Google Fonts, which means your browser contacts Google's servers and shares your IP address with them.

If PrepTex ever asks to connect to your own Google account (for example "Sign in with Google"), we will request only the access needed for the feature you choose, use it only for that feature, and our use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We would not transfer that data to others, use it for advertising, or let humans read it, except with your permission, for security, or where the law requires it.

We use a small number of providers who process data on our behalf, only as needed to run PrepTex:

• Supabase: database and backup file storage for your account, passes and saved work.
• Vercel: hosting of the website and servers.
• MTN Mobile Money, Orange Money and our payment aggregator: to collect payments.
• Your browser's push service (for example Google or Apple): to deliver notifications you turned on.
• OpenAlex: to look up academic references for reports. Only search terms are sent, not your account details.

These providers may store data on servers outside Cameroon. We choose providers that protect data with industry-standard security.

We may also disclose data if the law, a court order or a competent authority requires it, or to protect the safety of our users or the service.

• Account details and saved work: for as long as your account is open. Items you delete are removed from your account.
• Payment records: as long as required for accounting and to settle disputes.
• Security and usage logs: only as long as needed for limits, fraud prevention and troubleshooting.
• When you ask us to close your account, we delete your account and saved work within 30 days, except records we must keep by law.

We protect your data with encrypted connections (HTTPS), hashed passwords, private storage that is only reachable through our servers, access controls and automatic misuse detection. No online service can be completely secure, but we work to keep your data safe.

You are responsible for keeping your password and devices secure. PrepTex will never ask for your password by email, SMS, WhatsApp or phone. As set out in our Terms of Service, PrepTex is not responsible for access to your account, or any loss that follows, caused by you sharing your password, using a weak or reused password, leaving your account logged in on a shared device, or otherwise failing to keep your login details safe. You can:

• See and update your profile and language in Settings.
• Delete saved solutions, chats and uploaded materials from your dashboard.
• Turn notifications off in your browser or device settings at any time.
• Ask us for a copy of your data, to correct it, or to delete your account, by emailing louistech41@gmail.com from your registered address.

We reply to requests within 30 days. We may need to confirm your identity before acting on a request.

PrepTex is intended only for adults aged 18 and over. It is not designed for or directed at children under 18, and we do not knowingly collect personal data from anyone under 18. Every account holder confirms at signup that they are 18 or older.

Parents and guardians. A parent or legal guardian aged 18 or over may use their own PrepTex account to help their child prepare for exams, under their supervision, as set out in our Terms of Service. In that case the account, and all the data in it, belongs to the parent or guardian, not to the child. To protect your child's privacy:

• Do not create an account in your child's name or with your child's email address or phone number.
• Do not type, scan, record or upload your child's name, photo, school, ID numbers or other details that identify them. Scan only the questions on the paper.
• Avoid voice questions recorded by your child, since a voice recording is personal data that is sent to Google's AI for transcription.
• Keep your password to yourself and supervise your child while PrepTex is in use.

If we find data from a child. If we learn that we have collected personal data from a person under 18, for example because a child created an account, we will suspend that account and delete its personal data and saved work as quickly as possible. If you believe a child has given us personal data, contact louistech41@gmail.com and we will delete it.

We may update this policy as PrepTex changes. We will change the "Last updated" date above and, for important changes, tell you in the app or by email before they take effect.
